H-Way Accounting & Tax Services provides accounting, bookkeeping, tax and payroll services. This policy explains how personal information is handled when you visit h-wayaccounting.com, contact us, book an appointment, use our online filing forms, or submit an enquiry through our Facebook or Instagram lead forms.
Information you provide
For enquiries and appointments, we collect the contact details and information you choose to provide so that we can respond and arrange a consultation. This may include your name, email address, telephone number, company name, business location, service requested and appointment preferences.
Our online filing forms ask for information relevant to preparing tax returns. Depending on the service and the fields you complete, this can include identification details, date of birth, address, household information, income, deductions, tax payments and supporting documents. Client work may require additional information and authorizations, which are explained as part of the service and engagement process.
Facebook and Instagram lead forms
Our corporate-tax enquiry forms request contact details and basic business information, such as whether your business is incorporated, its city, the service you need and when you need help. H-Way uses this information to respond to your enquiry, assess the service requested and arrange a consultation or quote.
Submitting an enquiry requests a reply from our team by telephone or email. It does not subscribe you to a newsletter. Please do not provide a Social Insurance Number, date of birth, banking details, tax documents or other sensitive financial information in a social-media lead form or public comment.
Facebook and Instagram are operated by Meta. Information submitted through their forms is also handled by Meta under its own Privacy Policy. Meta may prefill contact fields using your profile; review them before submitting. Our access to a submitted lead does not give us access to your private social-media messages or account password.
How information is used
We use information to answer enquiries, arrange appointments, prepare quotes, provide the services you request, communicate about your work, and maintain necessary business and tax records. If a proposed new use requires consent, we will explain that use and request the appropriate consent. Marketing subscriptions require a separate choice.
Service providers and disclosures
Information may be processed by providers that support our website hosting, email, appointment booking, form submissions and business administration. Where you use a third-party platform, that platform also applies its own privacy practices. Providers may process information outside Canada, where different laws may apply.
Tax or accounting work may involve disclosures to the Canada Revenue Agency or other parties where you authorize them or where the law requires or permits them. A lead-form submission alone does not authorize us to file a return or act as your tax representative.
Website cookies and third-party content
Our WordPress website uses cookies for website operation and login functions. Website systems may process technical information such as your IP address, browser information and pages requested. You can manage cookies through your browser settings; restricting them may affect some features.
Pages include Google Maps and links to services such as Instagram and LinkedIn. Embedded third-party content can process technical information and use cookies under that provider’s policies. See Google’s Privacy Policy. When you follow an external link, the destination’s privacy policy applies.
Retention and handling sensitive information
Enquiry and appointment information is retained as needed to respond, provide the requested service and maintain necessary business records. Client tax and accounting records may need to be kept longer because of legal, professional or engagement requirements. Contact us if you have a question about the retention of a particular record.
Before sending sensitive tax, identity or financial documents, ask our team which submission method is appropriate for your service. No internet transmission or storage method can be guaranteed completely secure.
Your choices and requests
You can ask us to stop contacting you about an enquiry, withdraw consent for future optional uses, or request access to, correction of or deletion of personal information we hold about you. Requests may be subject to identity verification and applicable legal or recordkeeping requirements. Withdrawing consent may affect services that require the information. We will explain any applicable limitation when responding.
